Tee sheets, events and memberships are three calendars and one inbox.

How this business runs

Three calendars - the tee sheet, the events diary and the membership year - and one inbox that receives all three. The outing enquiry that arrives in March is worth more than a month of tee times, and it is the one most likely to sit unanswered for four days.

The recommended team

7 agents from the roster, in the order this trade needs them.

The tasks that will run

Chase the outing enquiries that stalled

every weekday at 7am

An outing is worth a month of tee times and it is lost on response time, not on price.

/ghl-pipeline · runs the agent · delivered to dashboard

Follow up a new enquiry the same day

every two hours between 8am and 6pm

An enquiry that waits until tomorrow has already called the course down the road.

/ghl-pipeline · checks a condition first and only starts a run if it trips · delivered to dashboard

Post this week's course and events

every Monday at 8am

Members book what they see, and the events diary fills weeks ahead or not at all.

/organic-content-creator · runs the agent · delivered to dashboard

Plan the next season's offers

on the 25th of each month at 9am

Golf revenue is seasonal and the offers have to exist before the season does.

/holiday-sale-planner · runs the agent · delivered to dashboard

Report what filled the sheet

on the 1st of each month at 8am

Rounds have a cause, and knowing it is what makes next season's plan real.

/organic-metrics · runs the agent · delivered to dashboard

Every one of these arrives as a proposal you approve or decline. Nothing is scheduled by signing up.

The tools to connect

Go High Level (GHL)

GoHighLevel is where the leads, the pipeline, the calendar and the conversations live. Almost every task below reads or writes it.

Google Calendar

Google Calendar is what SHAI writes to when the booking does not live in the CRM.

Meta Graph API (Instagram professional accounts + Facebook Pages)

Meta is where the audience is and where the ads run; without it nothing posts or reports.

Each one is your own account, connected once. Every tool carries its price and the exact steps.

The first week

  1. Connect the CRM and let SHAI list every outing enquiry from this year that was never answered twice.
  2. Ask it to draft the next quarter's events posts from the diary you already keep.
  3. Turn on the same-day enquiry check and watch it for a week before letting it send anything.

What to read on a Monday

  • Rounds per day against capacityUtilisation is the course's whole economics; an empty 40 minutes is gone for good.
  • Outing and event enquiries answered within a dayOutings are the high-ticket revenue and they are lost on response time.
  • Membership renewals and lapsesA lapsed member is far cheaper to keep than to replace, and lapses are visible weeks before they happen.
  • Food-and-beverage spend per roundThe margin that turns a busy tee sheet into a profitable one.

What SHAI will not do in this trade

  • Anything that texts or calls a customer runs on a registered A2P 10DLC brand and campaign with the consent record on file. /ghl-a2p sets that up; SHAI will not send a customer message before it exists.
  • TCPA: no call or text to anyone who has not opted in, nothing outside 8am-9pm in the recipient's own time zone, and an opt-out honoured on the first message it arrives in.
  • Every message SHAI sends to someone who is not the owner says it is an AI assistant acting for the business (master prompt 4.7). It is never presented as a person.
  • Membership marketing that quotes a price or a joining fee must match what the club's own agreement says. SHAI quotes the figure you gave it and never a rounder one.
  • SHAI never writes a review, never offers anything in exchange for one, and never posts as a customer. It drafts replies to reviews that already exist, for the owner to send.

Every line in this file is a recommendation written from an operator's knowledge of how this trade actually runs, never a promise about a result. Cadences are starting points; the owner changes them. Compliance notes are a reminder to check, not legal advice. Written 2026-09-15.

A playbook is a head start, not a requirement: SHAI works for any business, and a trade that is not on this list gets the same agents and a general plan built the same way.
